PAYMENTS, REFUNDS & WITHDRAWALS
A deposit of $500 per participant must be included to complete the participant(s) (referred to collectively herein as the Participant or “You”) registration. Parallel Adventures (herein referred to as Parallel or “We”) will fully refund the deposit if we are not able to accommodate your participation for any reason, to include lack of availability. The balance of your program fee is due at least 90 days before the trip start date. We will send you an invoice by email for your trip balance. Participants registering within 90 days of the trip start date will be invoiced for the balance within one week of registration, with payment due in full upon receipt.
Upon receipt of your deposit, we will send you several forms for you to complete, including our Participant Agreement and Guest Information form. We will also send you several informational documents pertaining to your trip, including Travel Information, a Packing List, and a Summarized Itinerary. Upon receipt of your final payment, we will send you a detailed itinerary with trip rendezvous information.
Should a participant leave a Parallel program after it begins for any reason (including, but not limited to, reasons of medical or psychological exigency, personal equipment failure, and/or physical inability), Parallel will make no full or partial refunds.
To insure yourself against unforeseen circumstances or emergencies, we strongly urge you to purchase trip insurance. Many trip insurance companies will only cover pre-existing conditions if you purchase their policy at the time of your registration – please read your policy carefully.
CANCELLATION BY YOU
If you need to cancel your participation in a Parallel trip for which you have registered, the following cancellation fee schedule will apply:
Cancellation notice received by Parallel more than 90 days before the trip start: Parallel will refund 100% of your party’s total deposit amount.
Cancellation notice received by Parallel less than 90 but more than 30 days before the trip start: Parallel will refund 50% of all program fees received.
Cancellation notice received by Parallel less than 30 days before the trip start: Parallel will make no refunds.
TRIP CANCELLATION BY PARALLEL & ITINERARY CHANGES
Parallel reserves the right to cancel a trip for any reason prior to its start or after it has begun. In the case of a trip cancellation that occurs prior to its start, we will work with you to find another program of your choice, or, if that is not possible, refund all payments received. In the unlikely event it becomes necessary to terminate a trip in progress, Parallel will refund the cost of the trip on a prorated basis.
Parallel makes reasonable efforts to follow the itineraries described on our website and in our printed materials as closely as possible. However, itineraries can change without notice due to weather, routing issues, mechanical difficulties, or unforeseen circumstances. In the event of an itinerary change, Parallel will make no full or partial refunds.
MEDICAL INSURANCE & TREATMENT AUTHORIZATION
Parallel participants must be covered by medical insurance that remains effective throughout the course of their trip. Your health insurance must provide coverage in the geographic area(s) where you will be traveling with Parallel.
In the event you require medical assistance during a trip, Parallel staff will contact medical and emergency professionals as necessary and administer first aid within the bounds of their medical certification. All medical and associated costs (including, but not limited to, additional transportation costs) incurred for treatment of the illness or injury will be your responsibility, and you agree to indemnify and hold Parallel harmless for any such treatment and the costs thereof.
EQUIPMENT & WHAT IS INCLUDED
Your program fee covers your pre-trip information, accommodations, intra-trip transportation, luggage transfer, activity costs, and those meals and beverages indicated on your detailed itinerary. Please note that Parallel works with our partners and participants to reasonably accommodate food allergies and restrictions. Due to the international nature of our programs and the potential lack of access to the selection of foods generally available in the United States, we may not be able to accommodate a vegan, Celiac, or Kosher diet on all programs. Please contact our office with questions about diet accommodations on specific programs.
Participants must arrive with their personal gear – including items such as backpacks, hiking boots, and other trekking equipment – in accordance with the packing lists that Parallel will provide in advance of the trip.
ESSENTIAL ELIGIBILITY CRITERIA
Essential eligibility criteria for Parallel participants may vary by trip, but will include at a minimum:
The participant must be ambulatory and able to walk and hike without assistance.
The participant must be able to see clearly, whether with or without glasses or contacts.
The participant must be able to provide for his or her own self-care.
The participant must be verbal and able to clearly communicate his or her own needs to Parallel staff.
The participant must be able to follow verbal directions from Parallel staff.
